What does a focus group facility cost in NYC?
In NYC, a traditional focus group facility bills per group — typically $500 to $900 per two-hour session for the room alone — and then adds line items for recording, streaming, food markup, and a hostess. By the end of a research day, the facility bill alone often lands between $2,500 and $6,000 before you've paid a single respondent. Union Square Loft charges a flat $2,500 for the full eight-hour day, one client, everything included, on Broadway in Flatiron.
How traditional facilities price a research day
The classic NYC focus group facility model is per-group billing. You book the room by the session — usually a 2-hour group plus a buffer — and the room fee is only the opening number. Industry guides put the base room-and-hostess fee at roughly $450–$600 per group outside New York, and Manhattan runs meaningfully higher. Then the add-ons start:
- Recording. Some facilities fold it in; many charge up to $250 per group for video capture and file delivery.
- Streaming. Remote viewing for stakeholders who can't fly in is frequently another line item per session.
- Food & beverage. Facilities customarily mark up catering 15–25% on top of cost — $100–$250 per group for sandwiches and soda is normal.
- Hostess/reception. Sometimes bundled, sometimes billed hourly.
- Overtime. Run fifteen minutes past your block on a busy night and you'll see it on the invoice.
Run three groups in an evening — the standard schedule — and the facility portion alone commonly lands in the $2,500–$6,000 range. That's before respondent incentives, recruiting, or your moderator.
The full project budget, honestly
Facility rental is usually the third biggest cost in a qualitative project. For planning purposes, here's what a typical NYC consumer project actually carries in 2026:
| Line item | Typical NYC range |
|---|---|
| Respondent incentives (consumer) | $100–$200 per person per 2-hr group; B2B $200–$500+; physicians and C-suite can exceed $800 |
| Recruiting | $100–$175 per recruited respondent, more for low-incidence screens |
| Moderator | $1,500–$3,000+ per group day for experienced talent |
| Facility | $2,500–$6,000 per day at traditional suites, depending on add-ons |
| Food | $100–$250 per group at facility markup, or at cost if your venue passes it through |
The facility is the line you can actually control without hurting the research. Cutting incentives gets you no-shows. Cutting recruiting gets you the wrong people. Cutting the facility's nickel-and-diming gets you the exact same insights for less.
The flat-fee alternative
Union Square Loft runs a different model, and we'll be direct about why: the per-group, per-add-on structure was built for an era when facilities ran three different clients through three different suites in one night. We give one client the entire facility for the entire day.
That structure means your three-group evening, your six-IDI day, or your all-day extended creativity session costs the same predictable number. No surprise invoice lines, no per-group recording fees, no catering margin.
Why the room itself matters more than the invoice
Price is what gets researchers to call. What gets them to come back is what the room does to respondents. Corporate research suites — fluorescent light, laminate table, mirror on the wall — put participants on guard before the moderator says a word. A daylight loft with 13-foot ceilings and 9-foot windows reads as a real place, and people talk in real places. That's not a slogan; it's three decades of watching groups from behind the glass and behind the camera. USL's operator designed and built the A/V systems in four major NYC focus group facilities before building this one, and shot research video for nearly every major facility in the city during their peak. The flat fee buys that experience in the room with you all day.
Booking and timing
Prime research slots in NYC — weekday evenings, especially Tuesday through Thursday — fill weeks out, and recruiting needs lead time regardless of venue. Book the facility 3–6 weeks ahead when you can; recruiting is usually your critical path, not the room. USL holds dates with a 50% deposit, balance due 14 days before your session. For multi-day programs and ongoing partnerships, ask about custom quotes.
